How Do Businesses Keep Their Travellers Happy?

SPEAK TO AN EXPERT

As a leading Travel Management Company (TMC), we understand the crucial role that traveller wellbeing plays in creating a positive work environment. In this blog, we explore how a dynamic travel policy can enhance traveller satisfaction and improve work-life balance, while boosting productivity and value for a business.

WHAT IS A DYNAMIC TRAVEL POLICY?

A dynamic travel policy adapts to market conditions, adjusting spending limits in real-time based on current fares. Unlike static travel policies, this approach responds to market fluctuations. For instance, during peak travel times when flight and hotel prices are higher, a dynamic travel policy allows for increased spending (e.g. travellers could book inside -/+10% of the policy guidelines).

Additionally, a dynamic travel policy offers greater flexibility and personalisation for travellers. It can accommodate preferred hotel or airline choices, class of flight, and specific dietary requirements, tailoring the travel experience to individual needs. Approval levels can still be incorporated into the booking workflow to monitor compliance and maintain control, but to also add flexibility for any ‘out of policy’ bookings.

A WORKING EXAMPLE

Let’s say a business traveller intends to fly business class from London to New York from WednesdayFriday. In general, by moving the travellers return date to include a Saturday night stay, there are considerable savings to be had (often thousands of pounds even after offsetting the extra cost of an additional hotel night), as well as providing some extra time for the traveller in their destination. They may choose to use this time to work remotely, entertain associates, explore the city, or simply enjoy some downtime.

SEEING THE BENEFITS

The example above illustrates how a dynamic travel policy's flexibility can enhance the travel experience, making employees feel valued and trusted. Providing opportunities for rest and relaxation demonstrates the company's commitment to employee wellbeing, leading to higher morale and productivity.

The benefits of such a policy include improved job satisfaction and staff retention - critical factors for any business. A GBTA study on business travel’s influence on employee retention, recruitment and results, found that 83% of business travellers in Europe said that their business travel experience contributes to their overall job satisfaction. By embracing flexibility, organisations can create a travel policy that meets the demands of today’s dynamic business environment while supporting the wellbeing and productivity of their employees.
